Can't seem to find how one goes about deleting a household or individual record

I found a duplicate name entry - one is incorrect and needs to be deleted. How do you delete an individual record? Or how do you delete a household record? I can find FO help on adding, editing, viewing, etc., but I can't find out how to delete anything.

Hi Joan,

You cannot delete records in Fellowship One.  If the records truly are duplicates, you can use the "Merge" tool to combine the 2 accounts together.  You will need to have your Fellowship One Champion grant you the security rights to this tool or you may have someone on staff that who is responsible for doing the "Merges".

To find the tool, do the following:

  1. Login to Fellowship One
  2. Click on People
  3. Click on Merge Individual under the Data Integrity heading
  4. Click on Find Person in the Master Record box and find the record that you wish to be the "Master".
  5. Click on Find Person in the Duplicate Record Bos and locate the duplicate record.
  6. Click Merge
  7. You will then see each record lined up on the screen next to each other.  Select the components of each record you would like to keep/change and then merge them together.

It would be so nice if you could delete individual records. We have many records that are fictional people created to test some system or a fictional person a bored-check-in-working-teenager has created for giggles. Yes, I realize teenagers should be admonished not to do such things, but once it's done the record is in there forever.

What I've seen churches do with those "Fictional" records is this

  1. Create a person in the database named: Deleted Person
  2. Use the process listed above to Merge the Fictional records with the Delete Person Record.
  3. Also give the Deleted Person record a Status of Inactive so that they do not show in any of your reports, etc.

Why can't we delete records? We've had people begin to use the system without fully grasping how it's setup, and now we need to change various Ministries/Activities/Jobs...

It makes no sense that you can't remove data that you created.

I guess I should have explained that... Fellowship One does not allow for records to be deleted because it is designed to keep a complete history of your church's members and attendees, including attendance, contact history, notes, etc.  To delete any of this would completely destroy all of htat historical data in your database.

I understand that there are times when things are created incorrectly or accidently.  If that is the case, contact Support and they will be able to lead you through fixing those issues.

Ok, I have a question, the help system and hte comments simply state to add an individual such as "Delete Person".  I assume this has to be done under some Household, say mabe a "Dummy"?

I don't see where you can simply add an Individual.

We have had hte system for abut a months now, so I am learning.

Yes, you would create a new household with the one person named Deleted Person and then follow the steps outlined in the previous posts.

We're just fully entering our recent attendee information and gearing up to utilize F1 completely.  In doing so, we already have a number of records that I would like to delete.  And I know going forward there will be multiple.

Scott, your comments don't seem to agree if...

...then wouldn't merging 20 people together under a Deleted Person name get rid of, or at least make their historical data useless?  If you merge 20 people together, there's no way for attendance to be useful any more.  The same goes with contact history, notes, etc...

If we want to delete someone we should be able to.  If a church wants to keep their historical attendance then they should leave everyone (marking the out-of-date records as inactive) or save the attendance in a master file somewhere else.  But if we stay with F1 for even a few years, we will have 100s of 1st & 2nd time visitors who we put into the system that never come back after that.  Any growing church will.  It becomes much too cumbersome for us to sift through data that is irrelevant to us anymore.

As a former full-time database programmer I understand the difficulty of deleting a record and making those changes while fully removing all relationships, records, etc...  But it should be available.  And saying it's not available to preserve our historical data integrity doesn't match with merging all unwanted records into a master Deleted Person.

I bet if you did a survey of F1 users they'd overwhelmingly want the ability to delete.  And at the very least, if we mark them as dropped, don't let them come up in a general search.  make a special search for dropped records.  I don't want to sort through a bunch of Johns and Smiths that have been dropped to find who I want.  I want them deleted, but at least I want them out of the way from the records I'm searching for.

Sorry, I love F1 and have already turned a couple of churches on to using it, but I just wanted to throw in my 2 cents on the delete issue.  Love to see it changed.

The work around for "deleting" records that I mentioned above is aimed more towards cleaning up those "fictional" records that appear in a database because of testing or someone playing around during Check-In.

I see these types of records all the time in my church.  Records with names like "Indiana Jones" or "Brad Pitt".  The quick and easy way to eliminate these records is to use the process I've outline above.
