Groups 2.0 Attendance Release - Iteration #2

Last month we introduced the highly-anticipated Groups 2.0 Attendance functionality. This first iteration enabled small group leaders to view and enter attendance through inFellowship. (Check out Groups 2.0 Attendance - Preview Release to get up-to-speed.)

We're excited to announce that a second iteration of features for Groups 2.0 Attendance has been released! This release provides visibility of Groups 2.0 Attendance in the Fellowship One portal and group member attendance details within inFellowship.

Features & Enhancements:

  • Visibility of Groups 2.0 Attendance in the Fellowship One portal
  • New History tab displaying prospect communications history
  • New Attendance tab displaying individual group member attendance
  • Group member view enhanced to include social links and member bio

Megan, great questions, and I'm happy to say that both are coming soon.Groups attendance will show up in the involvement graph in Fellowship One in future iterations so be looking for that. And currently we are working on Core Reports M1211 and M1300 to reflect Groups 2.0 attendance.

Thank you for this recent update. Groups is getting better and better. I'd like to propose that there be an alternate way for Group Leaders to add members to their group around the "Invitation" method. We have middle school small groups and many of the kids do not have email addresses. Also, we have a large population of elderly members who are not computer savvy and therefore do not have or use email. It becomes an issue for admin to have to add all the people who fall outside the "email" parameter. Thank you so much for considering this!

Glad to see some more progress on attendance, especially when it comes to portal users. I see the previous comment that mentioned that attendance data will be added to a couple core reports and that's great. Our pastors are waiting for an overview of the attendance in groups. I was wondering if there will be an easy way via a snapshot screen or report to see which group leaders have not reported attendance in X amount of weeks?

Eric, thanks for the feedback.  Absolutely, we will definitely be providing this information in both the Portal and inFellowship.  This will be provided in an upcoming release.  Span of Care Owners will easily be able to see if their Group Leaders are reporting their attendance.  They will also be able to see trends of attendance over time for their groups.

We haven't switched over to Attendance 2.0 as a means of reporting attendance because we ask our Group Leaders to submit some comments along with their attendance. I saw in the Roadmap that this is coming soon for Attendance 2.0. Can you give me a hint as to when? :) Also, is there a way to enter group attendance through FellowshipOne rather than InFellowship? Thanks!

Josh, Groups Notes will be further out in the Groups Attendance Road Map than what I feel comfortable placing a time frame on.  Currently, you can only post attendance through inFellowship.

I probably should have mentioned that in my first comment. Will those features you mentioned be available through the portal & thus our pastors? (trends of attendance over time for example). Eric, actually in the Portal you will have the ability to see this information even if you don't have the Span of Care feature.  You'll see attendance trends, attendance reporting compliance, & more.  I think you'll be very pleased with the work that weve got scheduled for this functionality.  I cannot wait until it's released.  Our development team will be working on this very soon.

Amber, Groups Attendance is available for all churches.  Do you not have the ability to enable Groups Attendance for a Group Type?  Editing a Group Type's Leader/Member Admin Rights by navigating to Groups › Administration › Group Types should allow you to turn on Groups Attendance.

Hi Guys – awesome update!  We're currently doing a slow rollout of Groups 2.0 to our congretation and small groups, and wanted to use the attendance feature on only a select few groups.  It appears that enabling attendance (via group type) is a global 'swtich' for all groups of that type.  And, as it also appears that the attendance 'reminder emails' are automatic and this feature is not something we can disable.  This would be very confusing to the group leaders who haven't yet been trained on (or even told about!) using InFellowship for attendance tracking.

So, a feature request – would it be possible to turn on/off attendance tracking (as an override to the setting in the group type) at the individual group level?  That way, I can turn on attendance tracking for the first few groups for our rollout (and can leave the group type 'attendance' setting off for the rest of the groups until we get them up to speed).  This wouldn't be dissimilar to the way we can set 'global' permissions for a group type but then can add additional viewers/managers at the individual group level.

I know we can always create new, temporary, group types to kind-of duplicate this functionality, but it seems a little less elegant (and more work) than just having the option at the group level.  Mostly, though – I'd love to turn on the attendnace feature and be able to keep the group type structure we've set up.

Oh, in response to my above post – an even simpler solution would be an option to simply disable the "reminder emails" to group leaders.  That way, we can take the time to train each leader and then switch on the reminders once they expect them.

If this is something that's already in place, let me know.  Again, loving the update!

Matt, thanks for your feedback and the kudos!  Using a new Group Type would really be the best approach to slowly rolling out Groups Attendance.  It is a bit of initial setup for the Group Type, however, the Move Groups functionality makes it a painless process.  When using the Move Groups functionality, the group will retain the same characteristics as long as the new Group Type supports it.

You can use the move groups functionality by going to Groups › Administration › Group Types, clicking on a Group Type and then choosing Manage/Move Groups under Actions.

Ultimately, Group Types are used to control the inFellowship experience.  This new Group Type would allow Groups Attendance to be used while the other Group Type continues as normal.

So agree w/Sara. That's our main issue in the Group setup with leaders only able to add members by the Invite process. The last step of the process when prospects have to click on the email link to get them into the group (after the leader has allowed) seems to be where the system breaks down the most. So many go through "the backdoor" by having me add me to the group. Will be very happy to see other options on that for the leaders. We're liking the attendance. Very user friendly as long as the group meets within the recurrence schedule you have set up. Groups that meet every other week (not 1st and 3rd) or meet at various times are not able to do attendance currently. Can we have an "other" option or something for group schedules that fit into the current system? It does keep getting better and thanks for listening to us!

Great job all! It looks really good and am excited to see the progress. I tested this all in the Staging environment and could not find any history. If look at an individual from InFellowship or in the portal I can see attendance for a few weeks but no history. Could not figure that one out?

I'm really looking forward to using Group Attendance for both our Adult Bible Groups and our home fellowship groups! Thanks for all your hard work on this. I'm wondering if we still have to set up Activity/Schedule/RLC's under the ministry tab in addition to under groups. We oftentimes use online registration for our classes, and when they register, it creates a participant assignment for the class.

Rose, Try looking into one of your group leader's history. They will naturally have more because history deals (at this time) with group activity dealing with prospects so a regular memeber in a group won't have much  history, if any. A leader, on the other hand, will have plenty because their history records when they invited someone or accepted someone and when they correspond with a prospect or took notes on one.

Nancy, Thanks for your feedback.  We greatly appreciate it!  We are definitely looking at easier ways for Group Leaders to add individuals to their Groups.  As an FYI, you can create Group Schedules for Groups that meet every other week by choosing every "2 weeks" in the "This repeats weekly" scheduling option.  We'll take into consideration for the need of custom schedules.

Dee, I would definitely recommend using Groups 2.0 and Groups Attendance for your Home Fellowship Groups.  Your Adult Bible Groups might need to continue to use the Activity structure so that you can utilize the online registration.  In the future, we will be enhancing both Online Registration and Activities.  It's a bit farther out on the road map to speculate on a date.

Within Fellowship 1 is there a way to see the total attendance for a group, or do we have to click on each individual to see their attendance? We like to see what our average attendance is for a group but don't want to have to contact each leader for that number. We would like to do that within Fellowship 1.

Alan, as we're rolling Groups Attendance out in iterations, this functionality will be in an upcoming release.  It will allow you to see attendance trends for a selected group or multiple groups in the Portal.  As well, in inFellowship, Span of Care Owners will be able to see this type of information for their groups.

We have closed groups that we need to monitor and administer with limited leader/member rights.  On the other hand, we would like the capability to allow editing of the group bulletin board only.  This would mean adding another admin right such as,”Edit Group Bulletin Board.”

We use check-in to help with attendance tracking for some of our classes/groups, so we are holding off to make a big change to the new groups 2 to keep us from having to administer two types of systems. Are there thoughts as to when check-in will be connected to Groups 2?

Thanks for all the work on this! Group attendance will hopefully play a big role in following up kids who are coming to our youth group only sporadically. We've used this feature for two consecutive weeks now, and I would love to know if there is a way to add a new member to the attendance list if they arrive for the first time at that days meeting rather than having to wait to record their attendance at next weeks meeting? Keep up the great work!

I have put in some attendance (using the staging environment) and can clearly see that recorded on the Dashboard even though only a couple of weeks. However when I went to call up someone's record in the portal (also staging) could not see any record of attendance for that person under Groups Involvement. I can see they belong to a group. What am I missing here?

Another suggestion our Student ministry has is a way to email parents. Since a lot of the students don't check email, most of the leaders want to communicate with the parents. If there was a way to have that option like there is in the portal for group leaders to see parents that would be a huge help and definitely something no other small groups module has.

Please do not do away with Report M1214E. This is what we use and we like it, a lot. It meets our needs and it's easy for our teachers to use. If other churches want to use the new M1211 v2.9 ok, but please give us an option to use M1214E as well. Thanks!

We have stressed the importance of keeping attendance with our group leaders for tracking and accountability and with the attendance not following automatically from the old to the new, we lose not only valuable information but some credibility. I'm trying to get some sample information into Groups 2.0 Attendance to see what it looks like. I have moved all of the people from the original (1.0) group into the new (2.0) group. I can see them in the roster, but I can't add them to attendance beyond the most recent attendance. I need to fill in some previous attendance. How can I do that?

In Groups 2.0 when someone is added to a group, there is not a way to post past attendance. This is done by design. I have the need to add a person that was missed when the group was setup and post past attendance. Currently Groups 2.0 does not allow the posting of past attendance once the group has been setup and attendance process has started.

Is there a work around or plans to have a more in depth editing capability?

This is especially important in the initial setup phase.

I have discovered what fsoule is talking about regarding design and past attendance posting, yet I have conflicting information.
I have a group where 12-16 individuals were added on 10-17-11 and we were able to post for only 5 of them for Oct. 9th & 16th.
Then we wer able to post attendance for the rest on the 23rd and 30th.
What happened F1?
Why is this happening?
This does not comply with what is stated as being the design. Can I get someone to look at this?

Oh and I also second or "third" the comment Megan said on 10.25.11


Is Groups 2.0 NOT INTENDED for use with underage youth such as Middle School?

My Middle School pastor is trying to add parents to the groups just to be able to email them.
This obviously skews the attendance dashboard and is not probably the intended design for GROUPS.

Hi Blair, Here's a possible suggestion. Go to Edit Schedule and click "Stops repeating" and give a date when it stops. The group thereafter does not repeat but still retains historical data. That way you do not need to delete the group, and still retain historical information. Hope this helps.

As a portal user I have many people given permissions to manage a group. I now wish to delete most of them leaving only 2 or 3 with permissions. I can add people with permission but cannot delete someone with permission back to view only. Am I doing something wrong?

I have having the same issue as Richard Lee above. If people never responded to the emails but showed up to group, we cannot enter any attendance until the meeting after they manually put in the group. Let us know if there's anyway around it.

We were blown away by the RoadShow in Los Angeles last month, GREAT JOB!

If you delete a group you'll not see the group history or attendance. Our suggestion would be to create a Group Type called Inactive Historical Groups and place all groups you wish to delete there.

I know it's been mentioned, but I would like to second/third/fourth the timely release of a notes function for small group attendance.  It is invaluable for our coaches and portal users to capture a weekly snapshot of what happened during a small group & even what may be happening in an individual's life.  Creating & accessing a historical notes database for each small group &/or individual would be incredible for us.

 At this time the only way to view group attendance is through the infelllowship module. There are not yet any attendance reports for Groups. These are coming soon.

 If you are not able to remove someone's group permission this is likely because they are listed as a group type Administrator. Remove them from that permission and you should be able to remove them from the Group permissions.

Jleslie This is is something that is by design, however it is something that our development team is looking into redesigning.

ANSWER:  A couple of things that we'll be doing to help out in this area.  1) The Involvement Widget will show both Activity Attendance & Groups 2.0 Attendance.  2)  The Reporting team will be updating key attendance reports to include Groups 2.0 Attendance along with the Activity Attendance.

We've definitely been hearing the importance of being able to post attendance for individuals that are not on the roster the day of the meeting.  We will be addressing this in a couple of different ways.  First, we'll provide the ability to post attendance for anyone added to the roster on the same day of the meeting.  Second, we'll research the implications of providing the ability to change the member's join date for the group.  The join date is what provides the ability to have the attendance posted for an individual.  I don't have a timeframe for when this will be done, but please know that we understand the importance of it.  Thanks!

I have a question about the retention of past assignments. Not all of our groups take attendance as some are just interest groups or compassion groups. We do try to get a list of all members for each group. So what I want to understand is for the future how are we going to keep assignment history? If we do attendance I understand that will always be available. However the group membership of a group will change over time. In order to keep the details of each group current we have to remove members from groups who were involved in the past. If that group has not been taking attendance what will be kept in terms of their group participation/assignment?. In the portal, if you do not do attendance, you can still see past assignments to activities and can either choose to keep them or delete them if they are really old. So what is going to be kept by Fellowship in regard to these past group assignments?

Our life groups meet on a quarter system for 9-10 weeks at a time. What would you suggest is the best way to set up the schedules so that they're not getting attendance reminder emails during the times when groups aren't meeting? Should I put in the schedule for 9 weeks and then change the schedule after the quarter is over? Will changing the schedule cause me to lose any attendance data? Say in a year I want to know how many groups there were during the Fall 2011 quarter...will there be a way for me to pull a report of that information? Forgive me if this has already been posted (the thread is getting long). We ran into an interesting snag in attendance. We just finished a semester of groups. For groups that had entered an ending meeting date, attendance could not be posted for that last meeting - it did not appear in the drop down. We had to extend the date of the last meeting to the following week (next week) for the last meeting date to appear in  the drop down. It made attendance work, but I suppose if someone looked at the group details to see when the last meeting is, they might think the group is still meeting for another week.

Tory - I tried your suggestion and created a Group Type called Inactive Historical Groups - but there doesn't seem to be a way to change the group type of a group once it has been determined. Any suggestions? Where would I "move" a group from one Group Type to another?

Added new members to the group in portal, but they are not showing up in the attendance of InFellowship. They are on the roster but trying to post attendance they don't show up and the people I removed from the roster are still there. Is this a 24hr. delay issue? Thanks,

Our small groups just began using groups 2.0 last week. We are having a big problem with taking attendance because we don't have people "JOIN" the group. Instead, they just show up to any group they wish.  Then we add them to the group the next day, but cannot take attendance on them.  This week we had some additional people attend groups and have the same problem.  Now all of our attendance records will be missing every individual's first time attending a group.  Is F1 developing a way to edit the "start date" of an individual to back date it before the meeting?

That will definitely be helpful, but what if a group meets late on an evening and the leader does not get around to adding the new member until the next day.  Will there be any way to take attendance on that person if they are added on the day after the meeting?

Justin, I'm afraid not. It all goes back to history and reporting. The "joined" date for a group cannot be changed so it has to be done on the date that the member actually joined. It's definitely something to make sure your leaders are aware of so they don't put it off not realizing that it affects attendance. You also want to make sure that a visitor to a group actually wants to be a member and they're not just visiting. If you add a visitor and they never attend again, or their attendance is erractic, it's going to skew your numbers/reporting/attendance averages.

Past Attendance Editing/History/Visitors/Guest to your class -- My question is how do I show that someone visited a Group 2.0? It seems to me that your current design could set up a situation in which we may have 50 people come as fist time guest to our Group 2.0s, in our case Small Groups...and I would have no way of tracking/taking attendance for them. I know that we won't be taking our attendance reports with us on Judgement Day, but in an effort to prove if our strategy of reaching people for Christ is working... we need to know the number of people who are on site every Sunday, not just people who were already setup as "Members" or "Prospects" to a Group 2.0. For the record "I LOVE GROUPS 2.0" Great job!!! Am I missing a piece of the puzzle or has anyone identified a work around?

I have observed many peoples who frequently ask doubt whether attendance will appear in the dots at the top, so it will be really great news for the people who want their attendance to be displayed at top, since soon there will be new release which contain this feature. Soon there will many new releases which will be compatible for the different group leaders in different ways. I am really much inspired by this new release which has many distinctive features.I hope in future they will also come up with applicant tracking software which would help the companies to efficiently track the applicant at the time of job openings.

For those waiting for the "disable reminder email" bugfix, a not-great-but-workable solution is to set everybody in the group to "member" with no "leader."  It seems to solve the problem of unwanted emails.

 

It causes other problems too, obviously, but depending on your situation those problems may be more workable.

MicahO, can you please describe the problem that needs to be solved with the Post Attendance Reminders?  

As most will agree, attendance is one of the major items that a church can measure concerning someone's involvement or lack of involvement.  For example, if someone has been coming to a small group for several weeks, but is no longer attending... this is a possible life indicator.  Something in there life has changed and it would be awesome if the Small Group Leader or church could understand this and reach out to them.

The reminders are to remind the Group Leader to take a couple of minutes and provide information to the church that the church has deemed valuable.

If you don't find attendance valuable for certain types of groups, such as sports teams, general interest groups, etc., you can place those groups under a different Group Type that does not have attendance enabled.  Group Types are in place to create the InFellowship experience and provide certain rights and permissions.

Another note about the reminders, we've put this in place so that group leaders can be encouraged to enter their attendance so that attendance information can be accurate as possible.  How can the church leadership be able to depend on attendance information if it's not up to date?

I can think of several reasons, but my particular one is simple.  I'm currently rolling out F1 and don't want my leaders getting emails that I don't choose to send to them asking for information I don't yet want because I'm not ready to use it.

As I start rolling out group attendance features, I'll be offering it to group leaders as a helpful tool that they can use at their own discretion.  I would strongly prefer to keep all of our home groups under the same group type, instead of having half as "Home Groups - Attendence" and half as "Home Groups - No Attendence."

This is a relatively easy code fix, and it gives church leaders far more flexibility in terms of how to use your software.  Why wouldn't you want us to have that?
