RoadMap: Groups 2.0 Attendance

Group attendance gives your small Group leaders the ability to capture/edit attendance and view historical participation trends. Church staff benefit as reminders for attendance are automated and attendance data is exposed through the portal.

(Iteration 1 released Sept 2011)


How it will work:
  • Your congregation signs in to the 'Congregational Portal', inFellowship.
  • If you elect to turn on 'Attendance', the small group leader will see an attendance tab in inFellowship Groups.
  • Each group can establish one meeting schedule which will be used to log attendance.
  • Historical attendance is shown 4 ways: occurrences over a date range, percentage breakdown for all members, past attendance for an individual, and past attendance on a specific date.
  • An email reminder will be sent to Group leaders after their meeting if attendance was not posted.
  • Group leaders will select the date and identify if the meeting was cancelled or not; if not, they simply place a check mark next to each person who attended and submit.
  • Group leaders can edit/correct past attendance records.
  • Leaders of leaders (span of care) are given tools to view attendance along with other trends among all groups they are responsible for.

Considerations:

  • The ability to add 2nd & 4th or 1st & 3rd week to a groups meeting schedule will be included in this release.
  • Attendance data will be captured in a new storage mechanism, consequently the data will only be exposed in places we have developed out; initially that will only include the "involvement widget" seen today when viewing an individuals record in Fellowship One.

FAQ's:
When will this be available?
We will maintain and update the dates shown on the top of this post to keep you as current as possible with any timelines.  It is currently 3rd in priority with Ad Hoc Reporting and Online Giving 2.0 ahead of it.
 
Can we turn off the ability to edit attendance?
It is doubtful we will allow this to be turned off entirely, but we are looking for feedback to help us identify a reasonable time period. Should your leaders be able to edit attendance past the last week, past month, past 3 months, past year?
 
Will check-in work with Groups 2.0?
Initially it will not work with check-in; this goes to the statement above re: our new attendance data structure. The next time Check-in is re-written it will use this new format, but there is no timeline for that effort.
 
Can our leaders submit notes with their attendance?
Not in the first release, but we are working toward that goal.

Will Groups 2.0 have the ability to schedule for more than one meeting a week? If not, how do we manage groups that meet twice a week? In an attempt to reach the younger generation, will there be the ability to send out a mass text? Also would like the ability for the Leader's Bulletin Board to post directly to Facebook or Twitter...

Hope - yes, you will be able to schedule more than one meeting a week, but the additional features are not included in this release. You may want to consider working with our partner The Table Project; http://tableproject.org/

Hi Curtis, First, thanks for all you guys do at F1 to partner with churches across the nation in helping them with their ministry needs. I had a question regarding your last past about Table Project. You mentioned it was a partner and on their website they say "We integrate with Fellowship One." What does this mean? How are they integrated?

Adrian, we integrate on basic people information; for example, if an email address is changed in the Table Project, it will be changed in F1 as well.

For future attendance function (a promise we are hoping for years), first, I hope the attendance sheet can be re-edited for group leaders: at least allow the leaders back track for a quarter so the sheet will not be locked out immediately like current Small Group Manager at Weblink to which we ended up not using it. The re-editing capability, which gives people a chance for remedy and making data more accurate, will only increase and speed up the adoption of inFellowship among the congregation.

Secondly, the ability for attaching document is important to group attendance. We ask all group leaders to submit their monthly group attendace along with a few answeres from a set of questions. Having the funciton of attaching documents helps greatly for communication and efficiency in terms of overseeing people especially if you have 50 groups!!

Good work!  I will be using this in a pilot mode with our Men's Ministry.  Hopefully we will imolementing to the whole 125 men's groups.

As some previous posters have mentioned, it's critical to have the ability to add members to a group and edit previous attendance records. Without accurate information, it's extremely difficult to manage and serve our leaders. Maybe I've missed something, but we have found the process of moving "Prospects" to "Members" extremely cumbersome. We'd love for our leaders to have the ability to add members at their discretion through InFellowship. We have open groups, so new people attend our groups all the time. To have to send 3 emails back and forth before someone is added to a group is too much. And then, not being able to include them in past attendance records is frustrating. All that to say, really appreciate the enhancements you have made to groups - with a few of these adjustments, it could be an incredible tool!

I agree totally with Barry. Leaders need the ability to easily add members to their groups. It is vital to how we do small groups and totally speeds up the process. Also believe it or not some people don't have email! We would also love to see the ability for people to have different roles instead of just getting stuck with member or leader. Some ability for customization would be great and make this feel more like our own tool.

This addition has come at just the right time. The addition of attendance has revitalized the participation of leaders. I'm curious to see how they will assess the long term results of attendance in their group. Don't we all kind of hang on to folks in the hopes that they will be come back to our group? However, that takes up spaces for others to join. Now comes a bigger task of troubleshooting those that haven't created a infellowship ID. Thanks for your vision and support of this feature. Mark

Hi Curtis, Our leaders are using attendance feature and have instances where we have visitors attend, but they're hesitant to give information (email) until they feel more comfortable with the group/church. Leaders can't invite them using Groups 2.0, leaders are asking for a feature to add visitors either in a total # attending for the 'nameless' visitors, as they only may come one time. Or a feature that they can add them under a 'true' prospect label within the group, until they get more info. This way they can post attendance and track their participation etc. We've encourage the leaders to send the names of visitors to individuals with Span of Care so the people can be added, but can only add the new attendees/visitors. Leaders are having difficulty (feeling frustrated) with having to communicate additional information to the church not understand why the attendance system doesn't allow the option to 'add' people without an email invitation. Have you guys considered the options mentioned? Do you have any feedback we can share with leaders? Thanks Bernadette

Here's what Mark Lindsley, Bus. Analyst, Prod Mgmt has to say:

First, we'll provide the ability to post attendance for anyone added to the roster on the same day of the meeting.  Second, we'll research the implications of providing the ability to change the member's join date for the group.  The join date is what provides the ability to have the attendance posted for an individual.  I don't have a timeframe for when this will be done, but please know that we understand the importance of it.  Thanks!

Hello - I am curious as to when the group/attendance reports will be ready? I was told they are "coming soon". Can you give me a better timeline? Next quarter? Next year? We are using the Groups feature currently with Attendance, but have no way of reporting who attended each meeting. Thanks, Erin

Jeff Rice, Repoting Manager, aniticpiates M1211 will be modified to support Group Attendance by Jan 1. and M1300 will be sometime Feb. 2012.

One feature I would also like to see implemented is the ability to manually enter attendance for a specifed date.  This would be extremely helpful for adding attendance data that was recorded before the group was created in F1.  It would also be helpful for tracking attendance that does not follow the exact schedule.  For example the group decided to meet additionally over the weekend for an outing, or the group slightly shifted their schedule one week to avoid a holiday.

I thought I had set my group up wrong, but had it confirmed by another leader today- after editing the schedule of a group the reminder email no longer gets sent out to the leaders of the group. Is there a way to fix this?

Hi Amiller! Our development team is working on a way to post attendance for new guests and visitors in Groups 2.0! I don't have a time frame to share with you at this time, but I know they're actively pursuing a solution for it!
